Gym shift scheduling that covers every class, desk and payroll hour

A gym or leisure centre runs several rotas in one building. Personal trainers, class instructors, reception, duty managers and cleaners all work from 06:00 until late. CySlip puts them on one schedule, records who actually came in, and turns the hours into a figure payroll can use.

An uncovered class is a refund

A missing shift on the floor is awkward. A spin class at 07:00 with nobody to teach it is fifteen members who booked, arrived, and now want their money back.

Two peaks and a dead middle

Before work and after work are full. The five hours between them are not. Staff the day evenly and you have paid for an empty room twice, every weekday, all year.

Hours from four roles, totalled by hand

The receptionist who also teaches Pilates and covers the gym floor on Sundays. Their hours sit in three places, so at month end overtime is either missed or paid twice.

Every role on one weekly schedule

Roles decide who can cover what, so a draft never puts someone unqualified in front of a class. Coverage targets are set per part of the day, so the quiet middle is staffed like the quiet middle. When somebody calls in, the class goes to the open pool and whoever can take it claims it from their phone.

  • Personal trainers, instructors, reception and duty managers on one grid
  • Roles control who can cover which class or desk
  • Coverage targets per part of the day, for the morning and evening peaks
  • Open shifts that only a qualified colleague can claim at short notice
  • Several branches or leisure centre zones in one account
  • A tablet at reception becomes the clock-in station

Next week's gym rota, drafted in seconds

Set your basic rules once, or simply write them down in plain language. CySlip AI builds the whole week against them in seconds. You review the draft, change what you want, and publish.

  • Set coverage for each part of the day: two trainers on the floor from 06:00, one duty manager until close
  • Write rules the way you would say them, for example "Maria never teaches before 09:00"
  • CySlip AI drafts the full week in seconds, with a one-line reason for each choice
  • You publish when it looks right. Nothing reaches staff before that, and the AI cannot break a hard rule

Payroll-ready hours, not a spreadsheet at month end

Every clock-in attaches to the rostered shift, and hours from every role roll up to one person. On the Professional plan, overtime and Sunday or public holiday rates are applied as staff clock out, so the month closes on a figure nobody had to retype.

  • Hours per person across every role they work
  • Overtime rules and premium rates, set once
  • Live labour cost, updated as each person clocks out
  • A monthly timesheet and payroll export for your accountant

When the class is children, cover is not optional

A missed adult shift is an inconvenience. A missed one in a room of eight-year-olds is a room you are not allowed to run. The named teacher or trainer has to be there, and a replacement has to be someone qualified to stand in, not whoever happens to be free.

  • Roles decide who can take a children's class, so a draft never fills one with an unqualified stand-in
  • Set the minimum adults on the floor as a coverage target, and see a named warning the moment a session falls under it
  • Open shifts are only offered to people whose role qualifies them, so a last-minute claim cannot create the gap it was meant to close
  • Every session keeps a record of who was scheduled and who actually clocked in

Know nobody has opened up before the members do

The 07:00 class has a queue outside at 06:55. If the person with the keys has slept through, you want to hear it from CySlip, not from a member standing in the car park. When someone scheduled has not clocked in, managers are alerted automatically.

  • Choose the threshold: 10, 15, 20 or 30 minutes after the shift was due to start
  • Alerts go to managers by email on any plan, and by SMS on Professional
  • It fires on the schedule, so it only chases people who were actually due in
  • Off until you switch it on, so nobody gets alerts they did not ask for

See the attendance pattern before it costs a class

One late opening is bad luck. The same instructor late every second Monday is a pattern, and you want to see it before members do. Attendance insights compare who was scheduled with who clocked in, and labour cost per week shows where the quiet middle of the day is overstaffed.

  • Lateness and no-show patterns by person, role or department
  • Scheduled hours against hours actually worked
  • Labour cost per week, on the Professional plan
  • A full clock-in history, with every correction recorded as one
  • Built and hosted in the EUUnder GDPR and Cyprus data-protection law.
  • No hardware to buyAny phone, tablet or old laptop becomes the clock-in kiosk.
  • Unlimited clock-in devicesOn every plan. You are never charged per terminal.
  • Nothing to installStaff clock in with a PIN. No per-person app, no accounts on the device.

Questions

How long does it take to build a gym schedule?

Minutes. You set your rules once, in the settings or in plain language, and CySlip AI drafts each new week in seconds. You review the draft, adjust anything by hand, and publish.

Does CySlip handle member class bookings?

No, and it is worth being clear about it. CySlip schedules your staff and records their hours. Member sign-ups, class capacity and memberships live in your booking platform. This is the other side of the timetable.

Can I schedule instructors, reception and floor staff separately?

Yes. Each is a department with its own coverage targets and its own draft, while hours, leave and cost roll up across the whole site.

What about freelance instructors who are not employees?

You can schedule anyone on your team and record the hours they work. Note that pay is calculated hourly or by salary. Per-class fees are not modelled, so a freelancer billing per session is settled outside CySlip.

Can staff pick up a class at short notice?

Yes. A dropped shift goes to the open pool and only appears to people whose role qualifies them for it. You approve the claim before it is final.

Can CySlip run payroll for my gym?

No. On the Professional plan it calculates hours, overtime and Sunday or public holiday rates, and exports them monthly. Your accountant or payroll provider runs payroll from that figure.

Can I manage several gym branches, or a leisure centre with separate zones?

Yes. Each branch or zone is a department with its own coverage targets. Staff can work in more than one, and their hours roll up into a single total.

How do I track staff attendance and lateness?

Staff clock in with a PIN on a shared tablet, and every punch lands on the shift it belongs to. Attendance insights show lateness and no-show patterns by person, role or department.
