Staff scheduling for gyms and studios
A gym runs three scheduling problems in one building: a class timetable that cannot have a gap, a reception desk that cannot be empty, and a floor that is either heaving or deserted.
An uncovered class is a refund
A missing shift on the floor is awkward. A spin class at 07:00 with nobody to teach it is fifteen members who booked, arrived, and now want their money back.
Two peaks and a dead middle
Before work and after work are full. The five hours between them are not. Staff the day evenly and you have paid for an empty room twice.
Half the team teaches somewhere else
Freelance instructors hold their own diaries across two or three studios. Their availability is real, it just is not written anywhere you can schedule against.
The right person, in the right hour
Roles decide who can cover what, so a draft never puts someone unqualified in front of a class. Coverage targets are set per part of the day, so the quiet middle is staffed like the quiet middle. When somebody calls in, the class goes to the open pool and whoever can take it claims it from their phone.
- Roles control who can cover which class or desk
- Coverage targets per part of day, not per day
- Split shifts for a morning and an evening peak, held as one day
- Open shifts a qualified colleague can claim at short notice
- A tablet at reception becomes the clock-in station
When the class is children, cover is not optional
A missed adult shift is an inconvenience. A missed one in a room of eight-year-olds is a room you are not allowed to run. The named teacher or trainer has to be there, and a replacement has to be someone qualified to stand in, not whoever happens to be free.
- Roles decide who can take a children's class, so a draft never fills one with an unqualified stand-in
- Set the minimum adults on the floor as a coverage target, and see a named warning the moment a session falls under it
- Open shifts are only offered to people whose role qualifies them, so a last-minute claim cannot create the gap it was meant to close
- Every session keeps a record of who was scheduled and who actually clocked in
Know nobody has opened up before the parents do
The 07:00 class has a queue outside at 06:55. If the person with the keys has slept through, you want to hear it from CySlip, not from a parent standing in the car park. When someone scheduled has not clocked in, managers are alerted automatically.
- Choose the threshold: 10, 15, 20 or 30 minutes after the shift was due to start
- Alerts go to managers by email on any plan, and by SMS on Premium
- It fires on the schedule, so it only chases people who were actually due in
- Off until you switch it on, so nobody gets alerts they did not ask for

Questions
Does CySlip handle member class bookings?
No, and it is worth being clear about it. CySlip schedules your staff and records their hours. Member sign-ups, class capacity and memberships live in your booking platform. This is the other side of the timetable.
Can I schedule instructors, reception and floor staff separately?
Yes. Each is a department with its own coverage targets and its own draft, while hours, leave and cost roll up across the whole site.
What about freelance instructors who are not employees?
You can schedule anyone on your team and record the hours they work. Note that pay is calculated hourly or by salary. Per-class fees are not modelled, so a freelancer billing per session is settled outside CySlip.
Can staff pick up a class at short notice?
Yes. A dropped shift goes to the open pool and only appears to people whose role qualifies them for it. You approve the claim before it is final.
